Phone Systems Designed for the Way Schools Actually Operate

School phone systems aren’t generic SME phone systems. Classroom phones must reach admin reliably. PA announcements and bell schedules need to integrate with the same system rather than running on a separate aging amplifier. Duress capability needs to work from any phone, with clear identification of source classroom or office — including from a softphone if a teacher is in the playground.

TechAssist deploys 3CX cloud PBX into Australian schools with proper PA/bell integration, classroom-aware extension planning, duress button capability, and TSSP-aligned deployment timelines around the school calendar. We replace aging Cisco, Avaya and NEC PBX systems with modern, software-based phone infrastructure that supports day-to-day teaching plus emergencies.

How We Deploy School Phone Systems

Three steps. Audit your current system, deploy around the school calendar, manage with school-aware support. TSSP coordination throughout.

01

Audit

Free site audit of your current phone, PA and bell systems. We map every classroom, admin extension, PA zone, bell schedule and duress requirement. Coordination with your TSSP technician built in. Written report.

02

Deploy

Deployment scheduled around the school calendar — typically holiday breaks for the cutover. Number porting, handset provisioning, PA/bell integration, duress configuration, parent-facing IVR, after-hours messaging. Tested before students return.

03

Manage

Ongoing PBX management with school-aware support. Term-time priority response, holiday-period maintenance windows, ad-hoc help for staff turnover, integration management with eduSTAR-aligned systems.

Eight School-Specific Features

What separates a school phone system from a generic SME phone system. All eight built into our standard school deployment.

1

Classroom Phones

Yealink T-series wall-mount or desk handsets in every classroom. Programmed extensions matching room numbers. Reliable ring-through to admin reception with caller-ID showing classroom location.

2

PA System Integration

3CX integrates with school PA amplifiers via SIP. Live announcements from any authorised handset, scheduled announcements via the call flow engine, multi-zone routing for primary vs secondary buildings.

3

Bell Schedule Integration

Bell schedules driven from the same system as the phones. Term-specific calendars, daylight-saving handled automatically, holiday/PD-day overrides. No separate bell controller to maintain.

4

Duress Capability

Duress alert configurable from any handset or softphone. Source classroom identification, multi-recipient alerting, integration with existing duress infrastructure where deployed. Tested as part of regular maintenance.

5

Parent-Facing IVR

Auto-attendant for parent calls. After-hours messages with absentee-line routing, year-level routing for inquiries, language options where required. Reduces front-desk load during busy periods.

6

Mobile Softphone for Staff

3CX softphone for principal, deputy, business manager, technicians. Outbound calls show school number. Inbound follow staff off-site. Useful during excursions, off-site PD, or after-hours emergencies.

7

Number Porting

School numbers ported during a holiday window with parallel routing. Zero impact to enrolment season, parent communication, or emergency contact. Existing voicemail content preserved where wanted.

8

TSSP Coordination

We work directly with your TSSP technician on deployment, integration with eduSTAR-aligned infrastructure, and ongoing change management. Department-aware processes throughout.

School Deployment Models

School phone systems aren’t one-size-fits-all. We tailor deployment to your school’s actual operating model, not a generic template.

Primary School

Primary School

Single campus, 200–500 students. ~25 classroom phones plus admin. Full PA/bell integration, parent IVR, duress capability. Most deployments inside one school holiday.

Secondary College

Secondary College

Single or multi-building, 500–1500 students. ~60 classroom phones plus admin and faculty offices. Multi-zone PA, complex bell schedules, year-level call routing.

Multi-Campus

Multi-Campus

Two or more campuses with shared dial plan. Inter-campus extension dialling, centralised admin queue, campus-specific PA and bell. Scales to large school networks.

Specialist Setting

Specialist Setting

Special schools, language centres, P-12 colleges. Custom extension layouts matching teaching model, integration with classroom-specific systems, duress designed for the actual operating environment.

Patch management lifecycle for operating systems and applications

Replacing Legacy PBX Without Drama

Most schools we engage with are running aging Cisco, Avaya, NEC, Panasonic or other legacy PBX systems. The pattern is the same: handsets are end-of-life, hardware spares are unavailable, the original installer has retired, and licensing costs keep climbing.

Replacement done properly: deploy 3CX in parallel during a holiday window, port numbers without losing calls, retire the old system once the new one has run a full school week without issues. Most schools see immediate cost savings, much better mobile-staff support, and zero loss of PA or bell functionality.

Duress and Emergency Communication

Duress capability isn’t optional in 2026. Staff need a fast, reliable way to alert admin and emergency services from any classroom or office, with clear identification of source location.

3CX supports configurable duress alerts triggerable from any handset or mobile softphone. Multi-recipient routing (admin reception + principal + deputy simultaneously). Source-location identification automatic. Integrates with existing duress alarm hardware where deployed. Tested quarterly so you know it works when it’s needed.

TSSP-Aligned Deployment for Victorian Schools

Victorian schools running TSSP have a specific operational reality — Department-aware change processes, eduSTAR-aligned infrastructure, integration with Department-mandated systems, and a TSSP technician who needs to be coordinated with rather than worked around.

We’ve deployed 3CX into Victorian Department of Education schools with the TSSP technician embedded in the project, change requests filed properly, and ongoing support that respects the TSSP role. The Department doesn’t need to be a blocker if the deployment plan is built right.

What Schools Get from a Modern Phone System

Lower Total Cost

Per-user licensing instead of per-extension. Most schools see 30–50% reduction vs legacy PBX maintenance contracts.

PA & Bell on One System

Phone, PA and bell all on the same 3CX platform. One vendor to manage, one system to maintain, one integration to test.

Duress That Works

Configurable duress alerts from any handset or softphone. Source identification, multi-recipient routing, tested quarterly.

TSSP Coordination

Department-aware deployment, TSSP technician embedded in the project, eduSTAR-aligned ongoing support.

School-Calendar Aware

Deployment scheduled around term breaks. Maintenance windows during pupil-free days. Term-time priority response.

Mobile Staff Coverage

Principal, deputy, business manager and technicians can take calls anywhere. Excursions, PD days, after-hours emergencies all covered.

Multi-factor authentication setup for business applications
